Sales Coordinator

We are seeking a dedicated Sales Coordinator to join our real estate development and Management Company in Mississauga, and grow with us. As a member of VANDYK, the candidate will provide a supporting role within a dynamic fast paced friendly environment.

Qualifications:

  • Minimum 3 years of professional Real Estate Administrator experience required
  • New Home Builder experience required
  • Professional demeanour with a stellar and proactive sensibility
  • Flexibility to shift gears in a fast past environment and ability to work independently with minimal direction
  • Demonstrated high level of administrative skill with knowledge of standard office administrative practices and procedures such as paper and electronic filing systems
  • Knowledge of Tarion regulations
  • Proficient computer skills and working knowledge of relevant software such as MS Office Suite
  • Adept in business letter writing and excel spreadsheets
  • Computer and technology savvy
  • Understanding of accounting procedures
  • Handle sensitive information with the highest degree of integrity and confidentiality
  • Excellent verbal and written communication
  • Possess a sense of urgency, accountability and job ownership
  • Share the passion of the mission of division and corporation
  • Clean driving record/driver’s license/own vehicle

Sales Administration:

  • Data-entry, typing of correspondence, spreadsheet, and creation of documentation
  • Sending/receiving email documentation to homeowners and law office
  • Co-ordinate & schedule internal sales meetings, prepare meeting agenda’s
  • Flexibility for other tasks, special assignments, as needed
  • Assist with preparing general Purchase Order Requests and Check Requests as directed
  • Command of project TV system set-up & operation; knowledge of Skype and other virtual meeting platforms
  • Command of phone system–tailoring selected functions to office environment
  • Prepare & process all Agreements of Purchase & Sale, amendments, schedules and related paperwork
  • Maintain and build filing system, scanning/uploading and retrieving of APS files
  • Liaise daily with law office to ensure accuracy of all legal paperwork/couriers
  • Liaise with accounting department to manage deposits, collection, database tracking and depositing, NSF and defaults
  • Maintenance & set-up of software programs
  • Manage marketing inventory, price lists, feature sheet
  • Maintain sales office supplies and manage deficiencies list
  • Co-ordinate all new project launches and work weekend events as required
  • Correspond with purchasers & prospects for all projects in a professional manner
  • Tarion preparation (APS addendum)
  • Manage delay notices as pern Tarion Guidelines
  • Manage project closing/occupancy procedures
